Who we are
Detling Players is a volunteer community theatre group based at Detling Village Hall, Pilgrims Way, Detling, Maidstone ME14 3EY. We are responsible for the personal information described here.

What we collect and why
- Membership applications. When you send our Join Us form, the details you choose to give — name, address, email, phone, membership type, interests, family members and any note — are emailed to our membership contact, Clare Pearce. We use them only to process your membership and keep in touch about the group’s activities. The website itself does not keep a copy: the form is passed straight on as an email. Only if that email cannot be sent is the application held securely on our web server, so it is not lost, and it is deleted automatically within 30 days. To stop misuse, the website also keeps a scrambled (non-identifiable) code for your connection for up to two hours.
- Emails and calls. If you contact a committee member we use your details to reply.
- Website server logs. Like every website, our server records the IP address, browser type and pages requested for each visit. These logs are used only to keep the site secure and working, and are deleted automatically after 14 days.
Our lawful bases are our legitimate interests in running the group and replying to you, and, for members, what is needed to provide your membership.
Who sees it
Only the committee members who need it. We never sell your information or use it for advertising. Our website is hosted on a web server in the UK (London), and form emails are sent through Zoho’s EU email service on our behalf; neither uses your details for anything else. Replies are handled by the committee members’ own email providers.
How long we keep it
Membership details: while you are a member and for 12 months after your membership ends. Enquiries: no longer than needed to deal with them. Server logs: 14 days.
Tickets
Tickets are sold through TicketSource. When you book, TicketSource collects your details and handles your payment under its own privacy policy, which you can find on the TicketSource website. As the organiser we can see booking details for our own performances.
Cookies
This website does not set any cookies and does not use analytics or tracking.
The map on our Find Us page is provided by Google. It only loads if you press Show map, and Google may then set cookies — see Google’s privacy policy. Links to Facebook, Instagram and TicketSource take you to those sites, where their own policies apply.
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, or object to how we use it. Contact us using the details above. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
